Privacy Policy

This policy explains how Kayan Executive Travel ("we", "us", "our") collects, uses and protects your personal data when you use our website at kayanexecutivetravel.com (the "Site") or contact us about our chauffeur services. We are the data controller for the personal data described in this policy. We process personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. The personal data we collect
We collect personal data in the following limited ways:
- Quote and enquiry forms. When you submit a form on the Site we collect your name, email address, phone number (optional) and the journey details you provide (for example pickup location, destination, date, time and vehicle preference).
- Direct contact. If you call, email, or message us on WhatsApp, we receive the contact details and information you choose to share, including your phone number and message content.
- Booking information. If you go on to book a journey, we hold the details needed to provide it — names of passengers, pickup and drop-off locations, dates and times, flight numbers where relevant, and any requirements you tell us about.
- Technical data. Our hosting provider and form provider automatically process limited technical information — such as your IP address, browser type and the pages requested — in server logs, for security, delivery and spam prevention. We do not use this information to identify or profile you.
2. What we do not collect
- No cookies. The Site does not set cookies and does not use local storage. Because of this, no cookie consent banner is required or shown.
- No analytics or advertising trackers. The Site contains no analytics scripts, advertising pixels, or social media tracking of any kind.
- No payment data. The Site does not take payments and never asks for card or bank details. Any payment arrangements are made separately when your booking is confirmed.
- No marketing lists. We do not send marketing emails or newsletters, and we do not add your details to any marketing list. We only contact you about your own enquiry or booking.
3. How we use your data and our lawful bases
- Responding to enquiries and providing quotes — because this is necessary to take steps at your request before entering into a contract (UK GDPR Article 6(1)(b)).
- Providing and managing your journey — performance of our contract with you (Article 6(1)(b)).
- Keeping records of bookings and communications — our legitimate interests in running our business, handling any queries or disputes, and meeting accounting obligations (Article 6(1)(f)), and compliance with legal obligations (Article 6(1)(c)).
- Site security and spam prevention — our legitimate interests in keeping the Site and our inbox secure and functional (Article 6(1)(f)).
We do not use your personal data for automated decision-making or profiling, and we never sell personal data.
4. Who we share data with
We use a small number of service providers ("processors") to run the Site. They may only use your data on our instructions:
- Formspree, Inc. (United States) — processes the details you submit through our enquiry forms and delivers them to us by email. Formspree also processes limited technical data for spam prevention. See the Formspree privacy policy.
- Vercel, Inc. (United States, with a global content delivery network) — hosts the Site and processes standard server logs, including IP addresses, to deliver pages and protect against abuse. See the Vercel privacy policy.
If you choose to contact us via WhatsApp (by tapping a WhatsApp link on the Site), your use of WhatsApp is governed by WhatsApp's own privacy policy (WhatsApp LLC / Meta). Nothing is shared with WhatsApp by us until you choose to open a chat. The same applies to our Instagram profile link.
We may also disclose personal data where required by law, regulation or court order, or to professional advisers where reasonably necessary.
5. International transfers
Our hosting and form providers are based in the United States, which means the limited data described above is transferred outside the UK. These transfers are protected by appropriate safeguards recognised under UK law, including the UK Extension to the EU–US Data Privacy Framework and/or the UK International Data Transfer Agreement / Addendum to the EU Standard Contractual Clauses, as applicable to each provider.
6. How long we keep your data
- Enquiries that do not lead to a booking — kept only as long as needed to respond and for a reasonable period afterwards, then deleted.
- Booking records — kept for up to six years after the journey, where required for legal, tax and accounting purposes or to deal with any dispute.
- Server and spam-prevention logs — retained for short periods by our providers in line with their standard retention schedules.
7. Your rights
Under UK GDPR you have the right to:
- Access — request a copy of the personal data we hold about you;
- Rectification — ask us to correct inaccurate or incomplete data;
- Erasure — ask us to delete your data in certain circumstances;
- Restriction — ask us to limit how we use your data in certain circumstances;
- Objection — object to processing based on our legitimate interests;
- Portability — receive the data you provided to us in a structured, commonly used, machine-readable format;
- Withdraw consent — where any processing is based on consent, withdraw it at any time.
To exercise any of these rights, email info@kayanexecutivetravel.com. We will respond within one month. There is normally no charge.
If you are unhappy with how we handle your data, you have the right to complain to the UK supervisory authority: the Information Commissioner's Office (ICO), Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF — ico.org.uk — 0303 123 1113. We would appreciate the chance to address your concern first.
8. Security
The Site is served entirely over HTTPS. Access to enquiry and booking data is limited to the people who need it to respond to you and provide your journey. Our providers apply their own technical and organisational security measures to the data they process for us.
9. Children
The Site is not directed at children and we do not knowingly collect personal data from anyone under 16 through it. Where children travel with us, their details are provided by the adult making the booking.
10. Third-party links
The Site contains links to third-party services (such as Instagram and WhatsApp). We are not responsible for the privacy practices of those services — please review their own policies.
11. Changes to this policy
We may update this policy from time to time. The latest version will always be published on this page with an updated date. Significant changes will be highlighted where reasonably practicable.
